Enable and View the Electronic 1095-C in AviontéCLASSIC

The 1095-C Report can now be made available on the Employee Portal. This gives the Talent the ability to view, download, and print a PDF of the 1095-C form. This provides the talent with a better user experience allowing them to see all year-end forms in one location.

Things to know/Prerequisites

• This only works for integrated customers who use the ACA Companion App; the functionality is not automatic.
  
  
• Clients need to request the creation of an e-document (edoc) to track consent for new hires or existing employees. This edoc would capture the interview question response and add it to the Employee record under the Interview section. The requested e-document would also capture the employee consent via an electronic signature for posting the 1095-C to their Employee portal.
  Note: Note: There is currently no standard e-document to capture this consent.
• According to IRS guidelines, companies must gather the required consent from the Talent to publish the 1095-C to the employee portal. This consent allows companies to furnish the 1095-C statement electronically without having to mail the form to the talent. Clients can also add the Electronic 1095-C consent question in the online application process which populates the responses back to the core application under the Employee Interview section.

Add the 1095-C Employee Interview question on the Admin Portal

In order to trigger the system to ask the question on the applicant process, add it as an Employee Interview question on the Admin portal.

Note: This is separate from the Electronic W2 Consent Interview question.

In AviontéCLASSIC, go to Admin Tools > Config Choice and add a new Employee Interview question that will be visible on the Employee portal.  The system name is Electronic1095C and the choice code is Electronic 1095-C for Category, EmployeeInterview.

Next, go into the Admin portal, click on Interview along the top row and click New Question. Add the exact question you added in Admin Tools, making it active for the appropriate branches.

The Question Detail window displays:

Fill out the question detail according to the values shown. The Branches and Suppliers shown will be unique to your company.

Update the Employee Interview Question for "Electronic 1095-C Consent"

Note: This is separate from the Electronic W2 Consent Interview question.

1. Log on to AviontéCLASSIC and select Employee.
2. Perform a search for the employee desired.
3. Select the Interview tab.
4. For the Category: Preference > Electronic 1095-C setting; click Edit, and set the value to "yes."
5. Press [TAB].  
   1. The value is saved.

View the 1095-C in the Talent Portal

Talent can use the classic web portal to view their 1095-C's.

1. Log in to the classic web portal.
2. Go to Pay History.
3. Click Year-End Forms.
4. There will be a 1095-C section displayed when available.

5. Click the View link. The system will display the document.

Use Advanced Search to find Employees who have Consented

Clients can use Advanced Search in AviontéCLASSIC to search for talent that has consented to the 1095-C. Use the following criteria:

• Search Type = Employee; Table = Interview; Field Description = Question; Operator = "="; Value = "Electronic 1095-C"
• Search Type = Employee; Table = Interview; Field Description = Answer; Operator = "="; Value = "Yes"

Include the 1095-C in Greenshades

• The Greenshades XML can be updated so that it pulls in the new "Electronic 1095-C Consent" when the feed is run for Q4 ACA.
