Admin - Talent Module Settings - General Settings

The General settings tab, which is opened by default, contains properties controlling the functionality and display of the Talent Module. This article will outline the properties available for customization. The Job boards portion of the Admin tab must be configured and saved before a job board can be accessed.

Settings

The General settings tab is one of three tabs in Admin > Talent module settings. Visit the help articles for the other tabs at Admin - Talent Module Settings - Onboarding

 

 

Field Definitions

With the exception of the Talent Module URL address, the fields on the page can be edited on the Talent module settings page according to the definitions in the sections below.

 

 

Standards

The fields at the top of the page control standard information in the Talent Module. All of the fields are able to be edited here with the exception of the Talent module URL address which is populated by the 

 

Item Description
Talent module URL address This field is auto-populated and can't be edited, but can be copied. Each Avionté customer has a Talent Module address of XYZ.avionte.com where "XYZ" is the customer's company code. 
Default theme The Talent Module theme (color, logo, etc.) can be edited in the Admin > Job boards area. The field here dictates how the job board will be themed by default. 
Contact method type to use for phone number

A drop-down menu designating the type of phone information requested from the applicant. 

 

To select a contact method that the applicant will use when applying, click the arrow to expand the drop-down menu and make a selection from the available options. To include an option not listed, visit the Add a Contact Method Type article.

 

Contact methods can be added in the legacy application to appear in the Recruiter Module. See the Add A Contact Method Type section at the bottom of this article. 

Contact method type to use for email address

A drop-down menu designating the type of email information requested from the applicant. 

 

To select a contact method that the applicant will use when applying, click the arrow to expand the drop-down menu and make a selection from the available options. To include an option not listed, visit the Add a Contact Method Type article.

 

Contact methods can be added in the legacy application to appear in the Recruiter Module. See the Add A Contact Method Type section at the bottom of this article. 

Email "From" address

The email address in the Email “From” address field is used when sending emails to applicants for password and username recovery. Visit Recruiter Module: Avionté Web Platform Sign-In for more information about password and username recovery.

If no Email “From” address has been set, then these messages are sent from “do_not_reply@avionte.com”.

 

Verification and application receipt confirmation emails are sent using the Email “From” address configured in the Job Board to which the candidate applied.

In the event a Job Board has no Email “From” address, the address set on the Talent Module settings page is used to send these messages. If no Email “From” address has been set on the Talent Module settings page, then these messages are sent from “do_not_reply@avionte.com”.

Talent duplicate check method

 

This functionality determines how incoming talent is differentiated when duplicate data exists - same SSN, same email, etc. 

 

Place a checkmark in the Require email address box to require an email address from applying talent.

 

This is due to the need for unique email addresses to partner with other tools such as Adobe Sign, NextCrew, etc.

 

Users have the ability to choose Social Security Number (SSN) as their main duplicate checking option as a part of their application workflow. Selecting this option includes an SSN based on a company's configuration and it also makes the email address field on the screen not required. 

 

See the note below as, even if the Require email address check box is not checked, the system will still check email addresses if one is provided. 

 

NoteUnique email addresses are required to support Talent Profile management. Due to this, email addresses are required to be unique across the entire tenant no matter this configuration. 

 

 

Job application Finish page Field Definitions

Item  Description
Header label text

The header label of the Job Application Finish page can be customized in the Header label text field. To enter text, click in the blank field and begin typing a custom header label (i.e. Thank you for applying).

Click Save to apply changes.

Notes The font style, size and color cannot be customized. There is a limit of 100 characters.
If text is not customized, "Thank you for applying!" will be entered by default.
Body text

The body of the text can be customized in the Body text field. To enter text, click in the blank field and begin typing a custom message (i.e. Your application has been received. You will be contacted soon!).

Click Save to apply changes.

Notes The font style, size and color cannot be customized. There is a limit of 2,500 characters.
If text is not customized, "Your application has been received. You will be contacted soon!" will be entered by default.
Default Exit button redirect location

The website (i.e. a company website, LinkedIn website, etc.) the applicant is redirected to after clicking Exit is customized in the Exit Button Redirect Location field. To enter a website URL, click in the blank field and begin typing. The website must begin with an http:// or https://. This is a required field. The Save button cannot be clicked until this field is completed.

Click Save to apply changes.


Note: If a prefix is not entered, http:// will be added automatically. 

Continue job search button redirection location

When a talent applies to a position, they have the option to exit the application or continue their job search. A recruiter now has the ability to configure what the Continue button will open. The button can be configured to return a continuing applicant to the job board or a web page of the recruiter's choosing.  

 

 

 

Email settings for job application submittal

The Talent Module sends a notification email to applicants to confirm that a submitted application has been received.  The system sends the email once the applicant reaches and completes the Submit page via the Quick Apply workflow or general application process.  


The Email settings for job application submittal section is used to configure the message’s sending address, subject line, and body text of the outgoing notification email. All fields are required.

  1. Navigate to Admin > Talent module settings

     

  2. In the Subject field, enter the subject line text.

     

  3. In the Body field, enter the content of the confirmation message. The Body field can contain rich text, images, and hyperlinks.

        Note: Display of message formatting and images will vary depending on the email application used by the recipient.

         

  4. Select Save to save the configuration.

 

 

Formatting Tools for use Within Notification Email Body

Icon Function
Makes text bold.
Italicizes text.
Underlines text.
Indents text.
Outdents text.
Starts a bulleted list or creates a bulleted list from selected text.
Starts a numbered list or creates a numbered list from selected text.

Creates a hyperlink. See the sections below for more information.

Inserts an image. See the Add an Image to Notification Email Body below for more information.
Aligns text along the left margin.
Centers text in the message window.
Aligns text along the right margin.
Increases text size for headers in body text. Size ranges from largest (H1) to smallest (H4).

 

 

Add a Hyperlink to Notification Email Body

  1. In the body of the email message, enter the text that will be made into a link.



  2. Select the text so that it is highlighted in the editor.



  3. From the formatting bar above the message, select mceclip15.png. The web browser will display a dialog asking for a URL similar to the one pictured below:



  4. Enter the address of the website in the text field and select OK. The selected text is now an active hyperlink.



  5. Select Save to save the change.

 

 

Edit a Hyperlink in the Notification Email Body

  1. Select the existing hyperlink. The hyperlink editor menu will be displayed.



  2. Select Edit icon. The web browser will display a dialog asking for a URL similar to the one pictured below:



  3. Enter the new web address in the text field and select OK.

     

  4. Select Save to save the change.

 

 

Remove a Hyperlink from the Notification Email Body

  1. Select the existing hyperlink. The hyperlink editor menu will be displayed.



  2. Select . The hyperlink is removed and the text is no longer underlined.

     

  3. Select Save to save the change.



 

Add an Image to Notification Email Body

Images must be hosted on a publicly available server to be included in the notification email.

  1. Move the cursor to the location that the image should be placed in the body of the message

     

  2. From the formatting bar above the message, select mceclip16.png. The web browser will display a dialog asking for a URL similar to the one pictured below:



  3. Enter the URL for the desired image and select OK. The image will be placed in the body text. At the cursor’s location. 

 

 

Default Branches

The branch displayed on a Talent Module can be adjusted in this area.

A drop-down menu listing the branches available in the supplier's system. The branch will display on the Talent module. 

 

Filter list by selecting a supplier

A drop-down menu listing the suppliers available to the Admin. This drop-down menu dictates what is available in the Default Branch drop-down menu.

Add a Contact Method Type

The contact method types in the drop-down menu must be configured properly in Avionté's Suite application. The contact method must exist and be set to "True" on the applicable branch. 

  1. From the Start Page, navigate to the Actions menu and select Admin Tools.
     
  2. In the Admin Tools window, under Category, choose "System" and under Select, choose "Config Choice." The System | Config Choice window will appear. 

  3. Click on the ChoiceProperty tab. 



  4. From the Category drop-down menu, select CustomerContactContactMethod. A list of contact method options will appear in the grid. 



  5. Select a branch to make changes to in the Select Branch drop-down menu. To apply these updates to all branches, place a checkmark in the box next to Apply Changes for All Branches.



  6. The values under the Choice Code column will appear in the Contact Method drop-down menus in the web-based modules. Locate the contact method type that should appear. 

  7. In the column IsPhone and IsEmail, ensure that the value is set to "True" for the option that should appear.
    Note: Options marked as "False" will not appear as options in the drop-down menus in the web-based modules.



    In this example, the "Cell Phone" config choice would appear under the Contact method to use for phone number drop-down menu because IsPhone is set to "True." "Cell Phone2" would not appear in the list since it is set to "False." The same applies to the IsEmail column.

  8. Press Tab on the keyboard to save the changes.
