Email Statement Letter

The Email Statement Letter option in the Customer actions menu allows for statement letters to be emailed to your customer.

Note: The user must have an active SMTP profile. For more information, contact your site administrator.

Send an Email Statement Letter

1. Navigate to Customer in the Main Menu.
   
   
2. Search for and select a customer.
   
   
3. From the Customer Actions Menu, select Email Statement Letter.
   
   
   
   
4. To save a copy of the email, from the Options area, place a checkmark in the Save This Email check box. 
   
   
   
   
5. From the Make This drop-down menu, select the format in which the copy will be saved. 
   
   
   
   
6. Enter an email address into the To field.
   
   
   
   
7. Click Send & Close in the upper-left. The invoice will be sent to the email address entered into the To field and will also be saved in the selected format. Below is an example of the monthly statement letter copy being saved as a task.
   
   

Automatically Email Monthly Statements

This process explains how invoices can automatically be sent to a customer and a copy can automatically be sent to additional recipients. 

1. Navigate to Customer in the Main Menu.
   
   
2. Search for and select a customer.
   
   
3. From the Main Menu, navigate to Customer > Back Office Setup > Billing Setup
   
   
4. Place a checkmark in the Automatically Email Monthly Statements check box. This action will automatically email a statement to email addresses entered in the next step.
   
   
   
   
5. Enter an email address into the Email Statements To field for each recipient that should receive a copy of the statement emailed to the customer.
   
   
   
   
6. Tab off of the field to save the addresses. 
   Monthly statements will now be sent to the addresses entered and the user's Messages section will now feature a notification that the statement was sent.
