Agency Contact Roles

The Agency Contact Roles section displays all contacts connected to a specific recruiting agency. Each contact and their role is listed in sort order in the upper grid so it is easy to see how each contact relates to a specific order. Information for each contact (i.e. their related customer or agency, department role, if they are active within the company, etc.) can be found here. A contact role can be added or edited by viewing the contact and navigating to the Contact Detail screen.

This tab also displays a list of messages that have been sent, contact methods for the agency, an agency tree and the users. 

Add a Contact

1. From the Main Menu, navigate to Agency > Contact Roles
   
   
2. Click the New Contact button in the upper-left of the panel. The "New Contact" window will display.
   
   
   
   
3. In the "Contact Info" group, populate the fields according to these definitions:
   
   

   Field	Description
   Salutation	A professional greeting for the contact.
   First Name	The first name of the contact.
   Middle Name	The middle name of the contact.
   Last Name	The last name of the contact.
   Title	The contact's professional title.
   Status	A drop-down menu featuring status selections - Active, Inactive, Prospect, and Deleted.

4. In the "Customer/Agency Info" group, populate the fields according to these definitions:
   
   

   Field	Description
   Customer/Agency	A selection of Customer or Agency for which the contact works.
   Customer/Agency Name	A drop-down menu of agency selections.
   Department Name	A drop-down menu of departments in the agency selected.
   Branch	A drop-down menu of specific agency branches.
   Contact Role(s)	A drop-down menu of professional roles.

5. In the "Contact Method" group, populate the fields according to these definitions:
   
   

   Field	Description
   Method Selection	A drop-down menu of methods by which to reach the contact.
   Method Value	The specific contact information according to the Method Selection.
   Method Table	A grid displaying contact methods and their values.

6. In the "Address" group, populate the fields according to these definitions:
   
   

   Field	Description
   Country	A drop-down menu of country selections for the contact's work address.
   Street 1	A drop-down menu of available street addresses for the contact according to the existing customer's location(s).
   Street 2	Subsequent street address information for the contact.
   City	The city in which the contact's work address is located.
   State	A drop-down menu of state selections for the contact's work address.
   Zip Code	The Zip Code for the contact's work address.

7. Click Finish to save the contact. The information will appear in the grid.

Delete a Contact Role

1. From the Main Menu, navigate to Agency > Contact Roles
   
   
2. Select a contact name from the grid. Once the contact name has been selected, it will be highlighted.
   
   
3. Right-click in the highlighted area.
   
   
4. Select either Delete Contact Role(s) or Unlink contact and Delete Contact Role(s) to remove the contact role from the page. This will also remove the contact role from the Contact's contact role page as long as no other orders or departments are using that same contact.
