The Employee Portal has been configured according to the selections made on the Employee Worksheet. Reference the Employee Worksheet when completing the testing steps below to ensure that the selections from the worksheet align with the Employee Portal. Testing is complete when all steps below have been completed and the portal selections verified.

Avionté Core Application: Set Up For Verification
Follow these instructions to set up an employee's portal login within the Avionté core application.
Configure the Web Login
- Open the Avionté core application.
- From the Main Menu, navigate to Front Office > Employee.
- Search for and open an employee record.

Click the Action drop-down menu and select Web Login.

The Web Login User window displays. Fill out the required fields.
Field Description Login Name Create a name to use when logging in. Password Create a password for the login name. User Description A brief description about the user. Related User A user related to the account (usually yourself). Web Role Select Employee from the drop-down menu. Account Locked Optional. Locks the account so it is inaccessible. Reset Password at Next Login Optional. Resets the user's password the next time they log in. Email Web Login Optional. Emails the login credentials to the user. -
Click Next.

Select what information is visible in the web portal by placing a checkmark under IsVisible for each item (e.g., check the box in the Education row to display education information).

Click Finish.
Configure eDocuments
Follow these instructions if you use eDocuments.

From the Main Menu, navigate to Front Office > Employee > Documents sub-menu.
Note: Search for an employee if needed. -
Select the EDocuments tab on the right side.

Click New EDocument.

The E-Document window displays. Select which eDocument will appear in the Employee Portal by checking the box under Select.

Click Finish.
Configure Announcements
Announcements can be configured to display in the Employee Portal.
- From the Start Page, navigate to Actions > Admin Tools > System > Announcements.

When the System | Announcements window displays, click Add New. Blank fields will appear under Announcement Details.

Fill in the fields:
Field Description Subject Text displayed in the subject line. Announcement Text displayed in the body of the announcement. Priority Determines the placement of this announcement relative to all other announcements. Announcement Date The date the announcement will appear in the Announcement section. Expiration Date The date the announcement will be removed from the Announcement section. User Select the user linked to this announcement as the sender. Portal Checkboxes Select the portal where the announcement will appear. Check Employee for it to appear on the Employee Portal. -
In the Shared By panel, select the branches where the announcement will appear by checking the box next to each branch name.

Click Save.
Avionté Employee Portal
Follow these instructions to verify setup in the Employee Portal.
Login Page

Open the link to your Employee Portal:
[3-digit company code].aviontego.com/portals/Login.aspx - Verify that the page is set up to your company's specifications, including the logo and color scheme.
- Enter your username and password.
- Click Login. The Home screen will display.
Home Page
If the Home page was requested as visible, it will display. The Home page will automatically open to the Home sub-page.

Verify that the page is set up to your company's specifications (required fields, verbiage, etc.). Pay special attention to the items below:
Item Description Announcements Ensure the announcement posted in the core application is showing. Current Assignments Ensure the employee's assignments are visible.
Note: Click on Assignment ID to view the assignment's details.
Messages Sub-Page

Click Messages on the sub-menu panel.
- Review the messages.
- Click on the subject of a message to view its details.
- Click Reply to type a response. A Post Message window displays.
- Enter text in the subject and body of the message.
- Click Post to send or Cancel to cancel.

To create a new message, click New Message.

A New Message window displays. Enter text in the subject and body fields.

Click Post to send or Cancel to cancel.
Update Account Sub-Page

Click Update Account on the sub-menu panel on the left side.
- Update the username, password, and security questions as needed.

Click Update to save changes.
Personal Info Page
If the Personal Info page was requested as visible, it will display.

Click Personal Info from the top menu bar.
Personal Info Sub-Page
The Personal Info page will automatically open to the Personal Info sub-page.

Verify that the page is set up to your company's specifications (required fields, verbiage, etc.). Pay special attention to the items below:
Item Description Personal Information Sub-Pages Ensure that the correct sub-pages are visible.
Personal Info Sub-Menu Items
(e.g., Contact Method, Skills, Education, etc.)
- On the sub-menu panel, confirm that the correct sub-menu options are visible.
- Click on each Personal Info sub-menu item to confirm the correct information displays.
Assignments Page
If the Assignments page was requested as visible, it will display.

Click Assignments from the top menu bar.
Summary Sub-Page
The Assignments page will automatically open to the Summary sub-page.
- Verify that the page is set up to your company's specifications (required fields, verbiage, etc.).

Verify that the employee's past, current, and future assignments are listed.
- Search for an assignment that is not currently visible.

Click the + icon to expand the Search Options display.

Select search criteria and click Search.
- Click the link under Assignment ID for additional details about the assignment.
Pay History Page
If the Pay History page was requested as visible, it will display.

Click Pay History from the top menu bar.
Paychecks Sub-Page
The Pay History page will automatically open to the Pay History sub-page.

Verify that the page is set up to your company's specifications (required fields, verbiage, etc.). Pay special attention to the items below:
Item Description Pay History Sub-Pages Ensure that the correct sub-pages are visible. -
To view specific check information, click a check number under the Check # column.
Year to Date Sub-Page

Click Year to Date from the sub-menu.

Click the + icon to make the advanced search options visible.

Click Search. Individual tax types will be listed with their contribution amounts.
Work History Sub-Page

Click Work History from the sub-menu for a listing of all assignments for this employee.

Click the + icon to expand the Search Options window and enter search criteria.

Click Search.
W-2 Sub-Page
-
Click W-2 from the sub-menu.

This displays all W-2s produced in Avionté after Greenshades has been run.
Note: This feature will not be available for testing until after tax season. - Click on a year to preview and print W-2s.
Accruals Sub-Page

Click Accruals from the sub-menu.
-
The accrual plans are listed. Click View for more details on a specific accrual plan.
eDocuments Page
If the eDocuments page was requested as visible, it will display.

Click eDocuments from the top menu bar.
eDocuments Sub-Page
The eDocuments page will automatically open to the eDocuments sub-page.
- Verify that the eDocuments selected on the Employee Worksheet are visible.

Click Input to view and submit an eDocument.
Time Entry Page
If the Time Entry page was requested as visible, it will display.

Click Time Entry from the top menu bar.
Time Entry Sub-Page
The Time Entry page will automatically open to the Time Entry sub-page.
- Verify that the page is set up to your company's specifications (required fields, verbiage, etc.).

Select the applicable work week from the drop-down menu.

Click on the customer name to open the Time Entry page.

Enter time for the employee in the blank fields.

Click Additional Items to add items to the record (mileage, drug test, etc.).

Click Save to save changes or Submit to submit the finalized time card.
Log Off

To log off the Employee Portal, select Log Off from the top menu bar.
