Applicant Portal Walkthrough

Candidates provide information to recruiters and apply for positions through the Applicant Portal.

The content below follows the steps the applicant encounters during the application process.

Online Application

The Applicant Portal process begins with a request for candidate information.

  1. Populate the fields according to these field definitions. 
Field Description
*Your Nearest Office The nearest office to the applicant's location.
*First Name The applicant's first name.
Middle Name The applicant's middle name (not required).
*Last Name The applicant' last name.
*Last 4 digits of SSN The last four digits of the applicant's social security number.

* = Required Field

     2. Click Next to advance to the next tab.

 

Resume

Applicants can either upload a resume from their computer or copy/paste the resume into a text field. 

 

Upload Documents

  1. Select Upload Documents. 


  2.  The File Upload pop-up window will appear. Select a File Type.


  3. Select Choose File.

  4. A file selection window will appear. Navigate to the document to be uploaded and select Open.


  5. Ensure the document attached is correct. Select Upload.


  6. The uploaded resume will be available on the Resume tab. The document can be viewed as a pop-up window from here. Select the trash icon to delete the document or select Next to advance to the next tab. 

 

Copy/Paste Resume

  1. Select Copy/Paste Resume


  2. A text editor will display. Select a File Type.


  3. Copy resume text from another source and paste into the open text field of the editor. Text may also be typed in and formatted with the HTML options in the editor.


  4. Select Submit in the lower-left.
  5. The uploaded resume will be available on the Resume tab. The document can be viewed as a pop-up window from here. Select the trash icon to delete the document or select Next to advance to the next tab. 


EDocuments

Employers can make documents available for the applicant to fill out on this page. Once all documents have been filled out, click the Next button to advance to the next tab. 

 

Personal Info

The Personal Info tab gathers applicant data such as residential address and contact information. Data initially provided in the first pane will be auto-populated. 

  1. Populate the Personal Info fields. 
    Your Nearest Office Auto-populated from info gathered in the first tab.
    First Name Auto-populated from info gathered in the first tab.
    Middle Name The applicant's middle name.
    Last Name Auto-populated from info gathered in the first tab.
    Maiden Name The applicant's pre-marriage last name.
    Alias Names Applicant's pseudonym or alias.
    *Address The applicant's home address.
    Address 2 The applicant's home address.
    *City The applicant's city of residence.
    *Country The applicant's country of residence.
    *State The applicant's state of residence.
    *Zip Code The applicant's zip code of residence.
    Home Phone The applicant's home phone number.
    Other Phone An alternate phone number for the applicant.
    CellPhone1 The applicant's cell phone number.
    Email The applicant's email address.
    CellPhone2 The applicant's second cell phone number.
    Emergency Phone An emergency contact phone number for the applicant. This is intended to be a number of a family member or friend of the applicant.

    * = Required Field
    Note: At least one contact phone number must be provided.
  2. Click Next to advance to the next tab.

 

Education

The Education page of the Application portal allows applicants to record their educational background during the application process. 
  1.  Populate the fields according to these field definitions.
No Education A check box to indicate the applicant does not have educational experience.
Degree Select the type of degree or diploma earned, or attempted, from the drop-down menu.
Institution Indicate where the degree or diploma was worked on.
Graduated Select Yes to indicate that the degree or diploma was earned, and No to indicated that it was not.
Start Date Indicates when the applicant begin the degree program.
End Date Indicates when the applicant finished or left the degree program.
Major The primary field of study undertaken by the applicant.
City City where the institution is located.
Country Country where the institution is located.
State State where the institution is located.
Add Another Education To add another degree or previous educational experience click the Add Another Education button.
 

     2. Click Next to advance to the next tab.

 

Past Jobs

The Past Jobs page of the Applicant portal allows applicants to record their their previous work experience. The Past Jobs tab allows for the entry of the following data:

  1.  Populate the fields according to these field definitions.
*Employer The name of a past employer.
Start Date The start date of the position.
End Date The end date of the position.
*Title The applicant's title at the company.
Supervisor The name of the applicant's supervisor.
Can we Contact Supervisor Indicate Yes or No to grant permission to contact the position supervisor.
Last Pay The applicant's most recent pay rate at the position.
Employment Type This field allows the selection of various indicators intended to convey the type of employment this was. Those indicators are:
  • Perm: Indicates that you were a Permanent employee at this job.
  • Temp: Indicates that you were a Temporary employee at this job.
  • Contract: Indicates that this was a Contract position (available in version 13.2 and newer).
  • Present: Indicates that you currently still work for this employer (available in version 13.2 and newer).
Address The address of the previous employer.
Address 2 The address of the previous employer.
City The location city of the previous employer. 
Country The location country of the previous employer.
State The location state of the previous employer.
Zip Code The location zip code of the previous employer.
Phone The phone number of the previous employer.
Agency Name The agency that coordinated the position at the previous employer.
Duties Specific tasks performed in the previous position.
Reason for Leaving The specific reason for leaving the previous position.

     2. Click Next to advance to the next tab.

 

Interview

The Applicant Portal's Interview tab prompts the user to enter a date when the applicant is available for an interview.

  1. Enter a date (mm/dd/yyyy).
  2. Click Next to advance to the next tab. 

 

Skills

The Skills page of the Applicant portal allows applicants to record their professional skills during the application process.

Note: There are three separate versions of the skills page that can be used, the following information follows the most common set up. 

Enter Skills

  1. Select a skill category from the drop-down menu at the top of the window. A list of skills pertaining to the selected category will populate.


  2. Indicate the possession of a specific skill by placing a check in the box on the far left cell of the corresponding skill's row.
  3. Record the level of experience by selecting an indicator from the drop-down menu in the corresponding cell of the Strength column.
  4. Any messages regarding the skill can be recorded in the corresponding field of the Note column.
  5. Indicate the amount of experience the applicant has in a skill by entering a value in the empty field and selecting type from the drop-down (so, for instance, if you've had 3 years of propane forklift experience you would enter the number "3" in the empty field and select "Year" from the adjacent drop-down menu.
  6. Click Next to advance to the next tab.
  7. A pop-up window will ask for confirmation that all skills have been entered. Click OK.

 

Conviction

The Conviction Tab asks for details about the applicant's criminal history. 



  1. Select Yes or No from the "Have you ever..." drop-down menu.
  • If No is selected, select Next to advance to the next tab.


  • If Yes is selected, complete the available fields.


  • Click Next to advance to the next tab.

EEO

The EEO (Equal Employment Opportunity) tab prompts the user for ethnicity, military, and gender information. 

  1. Select an option from the Race drop-down menu.


  2. Select an option from the Veteran drop-down menu.


  3. Select an option from the Sex drop-down menu.


  4. Click Next to advance to the next tab.

 

WOTC

The WOTC (frequently pronounced "wot-see" and an acronym for Work Opportunity Tax Credit) tab, prompts the user for information relating to federal tax credits that are provided to companies hiring individuals from certain target groups who have consistently faced significant barriers to employment.

Note: Setup of WOTC can be done either during the initial implementation of the online portals, or added on to the 14.1 portals. To add this functionality, please contact your Avionté support team.

As a 3rd party application (not Avionte), the WOTC process features its own Help documentation. Select Help from the upper-right of the window for assistance.
Some WOTC pages and questions may automatically generate based on responses provided. 

  1. Select a language in the upper-right field.


  2. Enter data in the location fields and select Continue.


  3. After entering data in the location fields, select Continue.
  4. On the Welcome page, select Continue.
  5. Complete the fields on the Personal Info page and select Continue.
  6. Answer the question on the Age page and select Continue.
  7. Answer the question on the Previously Employed page and select Continue.
  8. Answer the questions on the Conditional Certification page and select Continue.
  9. Answer the question on the Military Service page and select Continue.
  10. Answer the question on the Temporary Assistance page and select Continue.
  11. Answer the question on the Felony page. 
  • If No is selected, the next page will automatically load.
  • If Yes is selected, follow-up questions will populate based on answers provided. Answer any felony-related questions and select Continue.
  • Answer the question on the Vocational Rehab page and select Continue.
  • Answer the questions on the Social Security Disability page and select Continue
  • The Congratulations page, which includes a WOTC confirmation number, will populate. Record the confirmation number.
  • Select Done.
  • Click Next to advance to the next tab. 

 

Assessment

If any assessments are required, they will be available in this tab. Complete the assessment and select Next to advance to the next tab.

 

Acknowledgment Page

The Submit Page tab is the final step in the applicant portal. It provides terms of employment per the hiring agency's policies.

  1. Read the terms of employment.
  2. Select I agree or I do not agree.
  • If I agree is selected, click Submit to complete the application.
  • If I do not agree is selected, a confirmation pop-up window will appear. Select Yes or No and press Enter on the keyboard.
    • If I do not agree is confirmed, the application may not be submitted. The application will remain on the Acknowledgement page.

 

Application Completed

A message confirms that the application has been received. Click Return to Job Board to see other postings in the job board.
