The New Assignment Wizard

The New Assignment Wizard is a form that allows a user to create a new assignment for an order. The wizard can be launched from two locations within the Avionté application:

The New Assignment Wizard form is organized into sections of related data. Each section is described below.

Order Information

The Order Info section of the New Assignment Wizard contains details about the order an assignment is associated with.

When creating an assignment from Order > Actions menu > Assign New, this section is auto-populated with the information from the order. See Assign New for more information.

 

 

Field Name Field Content
Customer Name Name of the Customer.
Department Name Department the assignment is for.
Job Title Assignment job title.
Wc Code Assignment Worker's Compensation Code.
Order ID Order ID the assignment is under.
Branch Name of the branch the assignment is under.
Assignment Type The type that best describes the assignment.

Employee

The Employee section of the New Assignment Wizard allows the user to add the employee to the assignment.

 

 

When creating an assignment from Employee > Actions menu > Assign, this section is populated with the current employee's information and is not editable. See Assign for more information.

 

 

Field Name Field Content
Assign Current Employee button Adds the current employee to the assignment.
LookUp - Filter drop-down menu Allows user to select the data type used to filter the employee records.
LookUp - Filter field Allows user to enter the data to filter employee records by.
LookUp - Filter results drop-down menu Allows user to select an employee from the filter results.

Other Info

The Other Info section of the window allows you to enter information such as the Agency and shift times for the assignment.

 

 

Field Name Field Description Additional Details
Agency A drop-down menu that allows the user to select the applicable agency for the assignment. This field is not active when the W2 box is checked.
W2 When checked, the employee will receive a W2.  
Shift Allows changes to be made to assignment's shift. This field is not editable by default. Only Avionté users with the AllowEditAssignmentScheduleHistory config option set to “True” have access to this field. See Enable Assignment Schedule Editing below for more information.

Enable Assignment Schedule Editing

This process describes the steps required to use Admin Tools to allow a user to edit the assignment's scheduled shift in the New Assignment Wizard.

  1. Navigate to the Start page.

  2. Click the Actions menu.

  3. Select Admin Tools.

  4. Click System.

  5. Double-click Config Option in the right pane. The System | Config Option window opens.

  6. Click the Config Option By FKName tab.

  7. In the Property field, enter "AllowEditAssignmentScheduleHistory" to search for the desired property.

     

     

  8. Click on AllowEditAssignmentScheduleHistory in the search results grid to select it.

  9. In the Apply To section, click the radio button next to User or Group depending on how the change should be applied.

     

     

  10. In the FKName field within the Select Config Option Value section, enter the name of the user or group to perform a search.

     

  11. Select the desired user or group from the list of search results.

  12. In the ConfigOptionValue field, enter "True".

     

     

  13. For this change to take effect, each affected Avionté user must restart the application. Click the Avionté button in the upper-left corner of the Avionté window.

  14. Click Restart Application.

Date / Rate

The Date/Rate group contains the pay information along with the Start and End dates.

 

 

Field Name Field Description
Start Date A calendar drop-down menu that allows the user to set the assignment start date.
End Date Displays the assignment end date from the order.
MarkUp Displays the Markup rate set for the order the assignment is for.
Pay Rates Allows user to enter the pay rates the employee will receive for the assignment.

User

This section allows the current user to enter the names of the people who fill the roles related to the assignment and set their commission percentage.

This section allows the user to enter and save any notes or details related to the assignment.

Adding functionality to the New Assignment Wizard

Additional functionality can be added to the New Assignment Wizard in the form of tabs.

Deduction Tracking tab 

The Deduction Tracking tab allows the user to enter plans for tracking equipment and services costs that are to be deducted from the employee’s pay.

Field Name Description
Equipment Drop-down menu that lists the types of equipment that the deduction is for.
Tag A code used to identify the equipment.
Issue Date Date the equipment was given to the employee.
Deduction Amount Amount of the deduction being withheld from the employee.
Deduction A/c Period The accounting period in which the deduction will appear.
Owner The owner of the equipment.
Refunded The checkbox in this field is not editable.

Add Deduction Tracking Tab to New Assignment Wizard

  1. Navigate to the Start page.

  2. Click the Actions menu.

  3. Select Admin Tools.

  4. Select System.

  5. Double-click Wizard in the right pane.

  6. In the Category column, perform a search for "Assignment".



  7. Select EquipmentDeductionTracking from the search results.

  8. In the Shared By section, add a check next to each site that requires this tab to be active.



  9. Click Save.

  10. For this change to take effect, each affected Avionté user must restart the application. Click the Avionté button in the upper-left corner of the Avionté window.

Assignment Schedule Tab

The Assignment Schedule tab is populated with the shift, start date, end date, start time, and end time from the Add Assignment tab. It also allows for the creation of additional shifts for the assignment.

 

 

Field Name Description
StartDate Date that the assignment will begin.
EndDate Date the assignment will end.
ShiftName The Name of the shift worked by the employee, e.g., first, second, third, etc.
StartTime Time the shift starts.
EndTime Time the shift ends.

Add Assignment Schedule Tab to New Assignment Wizard

  1. Navigate to the Start page.

  2. Click the Actions menu.

  3. Select Admin Tools.

  4. Select System.

  5. Double-click Wizard in the right pane. The System | Wizard window opens.

  6. In the Category column, perform a search for "Assignment".



  7. Select Assignment_ScheduleWizard from the search results.

  8. In the Shared By section, add a check next to each site that requires this tab to be active.



  9. Click Save.

  10. For this change to take effect, each affected Avionté user must restart the application. Click the Avionté button in the upper-left corner of the Avionté window.


  11. Click Restart Application.

Accruals Tab

If the current customer has one or more accrual plans in Customer > Accrual Plan, the New Assignment Wizard will display this tab and populate it with the available plans.

 

Field Name Description
Rate The rate that the employee will accrue hours.
PayPeriodLimit The maximum accrual the employee can accrue per pay period.
PlanName The name of the accrual plan.
Select Indicates the plan to be used for this assignment.
